Use Copilot in Outlook for Android and iOS with a screen reader

Copilot in Outlook for Android makes managing emails simpler, especially for users relying on screen readers like TalkBack. This article guides how to draft, rewrite, and summarize email threads using Copilot for Android. You’ll also learn how to use the Coaching by Copilot feature in Outlook.

Draft emails with Copilot

Drafting emails on your Android device is easier with Copilot in Outlook. Follow these steps to write an email with Copilot:

  1. Open the Microsoft Outlook app on your Android device.

  2. Flick left until you hear the “New email button,” then double-tap to open a new draft.

  3. Flick left until you hear the “Copilot button” then double-tap to expand the dropdown.

  4. Double-tap to select the Draft with Copilot option. This will open the Draft with Copilot dialog.

  5. Type the details you want your email to include in the box of the Draft with Copilot dialog.​

    • Alternatively, flick right to navigate the sample prompts to ease draft your email. Double-tap the desired prompt to generate the draft.

  6. On the Draft with Copilot dialog, flick right to the Generate button and then double-tap. Copilot will generate a draft based on your input.

    • To cancel, flick right on the status bar and double-tap when you hear the “Stop generating button.”

    • To update the generated draft, type the adjustment you want to make to the draft in the Anything you’d like to change edit box, like ‘make it concise’ and double-tap to regenerate.

      Note: You can go back to the initial draft using the Previous draft button.

    • To regenerate the content, flick right to the Regenerate button and double-tap. This will generate a few suggestions for the content. Navigate the suggestions using the Next item and Previous item buttons.

    • You can readjust the tone and length of the draft using the Options button.

  7. If you like any of the generated suggestions, add it to your email by selecting the Keep it button.

    Note: If you want to give feedback to Microsoft about the Draft with Copilot feature, flick right to the Send positive feedback or Send negative feedback icon, fill in the feedback form, and select Submit to send the feedback.

Email coaching by Copilot

The Coaching by Copilot feature in Outlook helps you improve the tone and clarity of your emails. Follow these steps to use this feature:

  1. Open a draft or an email response, flick right until you hear the “Copilot button,” and double-tap to open the dropdown.

    Note: You need to have a minimum of 100 characters in your draft for this feature to work.

  2. Flick right and double-tap the Coaching by Copilot button.

    Note: You might get a notification saying “Need a hand with this email? Try Coaching by Copilot.” Double-tap Open to access it directly.

  3. Copilot will suggest improvements to the tone, reader sentiment, and clarity of your email.

  4. Review the suggestions using talkback and use them to improve your email by incorporating the feedback into the draft.

    • If you want to explore more suggestions, flick right to the Regenerate button and double-tap. 

Note: If you want to give feedback to Microsoft about this feature, flick right to Send positive feedback or Send negative feedback icon, fill out the feedback form, and select the Submit to send the feedback.

Summarize emails with Copilot

The Summarize feature allows you to quickly understand the key points without reading every word. Follow these steps to summarize your emails with Copilot in Outlook:

  1. Open your Outlook Inbox.

  2. Flick right to navigate through your emails. Talkback will read the subject and sender name.

  3. Double-tap to open the email you want to summarize.

  4. Flick right until you hear the “Summary by copilot button” and then double-tap.

  5. Copilot will generate a summary for the selected email.

    • To stop the summary generation, go to the Stop generating button and double-tap.

  6. Review the generated summary using Talkback.

    Note: To provide feedback to Copilot generated summaries, flick right to the Send positive feedback or Send negative feedback icon, fill in the feedback form, and select Submit to send the feedback.

Draft emails with Copilot

The Summarize feature allows you to quickly understand the key points without reading the whole mail thread. To summarize your emails with Copilot in Outlook, follow these steps:

  1. Open your Outlook Inbox.

  2. Flick right to navigate through the emails in your inbox. VoiceOver will read the email’s subject and sender's name.

  3. Double-tap to open the email you want to summarize.

  4. Flick left until you hear the “Summarize conversation button,” and double-tap.

  5. Copilot will generate a summary for the selected email thread.

    • To stop generating the summary, go to the Stop generating button and double-tap to stop the process.

  6. Once the summary is generated, you can review it using VoiceOver.

Note: To provide feedback to Copilot generated summaries, flick right to the Send positive feedback or Send negative feedback icon, double-tap to fill in the feedback form, and select the Submit button to send the feedback.
